About the Role:

We are seeking a highly organized, detail-oriented, and personable Office Manager to support our Trussville team, including our Chief Operating Officer (or equivalent senior leadership), financial advisors, and clients. This role is essential in ensuring smooth daily operations, exceptional client service, and efficient administrative support in our professional wealth advisory environment.

Job Responsibilities:

Manage and maintain the executive calendar (including for senior leadership/COO), schedule meetings, and coordinate all related logistics. - Prepare thoroughly for all meetings and appointments, including gathering paperwork, reviewing agendas, setting up technology (e.g., Zoom/Teams), and having note-taking tools ready. - Handle client greeting and reception — provide a warm, professional welcome to clients visiting the office. - Answer and manage incoming phone calls with professionalism and courtesy. - Monitor and respond to emails, ensuring timely communication and follow-up. - Assist with client follow-up, including scheduling, tracking action items, and maintaining relationships. - Prepare and complete paperwork, review follow-up items, and ensure all documentation is accurate and organized. - Book travel arrangements for the team as needed. - Maintain office supplies inventory, order replenishments, and manage general office operations. - Handle mailing, shipping, and related administrative tasks. - Support community involvement, networking events, and firm outreach efforts. - Perform other administrative duties to keep the office running efficiently.
